Office Manager

The Office Manager is responsible for overall ”organizational” management activities including the reception area, mail, vendor management, purchasing requests and facilities. The Office Manager is also responsible for directing and coordinating office services including developing and supervising programs to maximize office processes and efficiencies, and promote collaboration across the organization’s services, vendors and equipment. Additionally, this person will be responsible for arranging internal office moves, providing arrangements for office meetings and assisting with new employee orientation.

Reporting and relationships: The Office Manager reports to the Director of Operations.

Availability: The Office Manager is expected to work a typical work week of 37.5 hours plus additional hours as necessary to get the job done. The position may involve travel within the US.

Essential Job Functions:
• Manages the reception area to ensure effective telephone and mail communications internally and externally to maintain a professional image of the organization.
• Organizes office equipment, vendors and services to improve organization’s impact and maximize value.
• Supervises and coordinates overall administrative and core procedural activities.
• Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
• Negotiates the purchase of office supplies and furniture, office equipment, and other asset requirements for the staff in accordance with company purchasing policies and budgetary restrictions.
• Collaborates in negotiations to purchase, lease and maintain office equipment, including copier, fax machine, and printers.
• Responsible for the facilities and their day-to-day operations (such as distributing building access keys, security access cards)
• Participates as needed in special department/organizational projects.

Required Knowledge, Skills, and Abilities:
• At least three years of increasingly complex office management experience.
• Working knowledge of office equipment (postage machines, printers, fax, copiers), document production, and mailing services (Fed Ex, DHL).
• Procurement experience preferred.
• Good planning and organizational skills.
• Computer literacy in MS Office required specifically Outlook, Word, and Excel. Access and other computer capabilities preferred.
• A self-starter, spots opportunities and develops solutions
• Well-developed interpersonal and communication skills.
• Professional appearance and manner.
• Ability to manage staff (supervisory experience).
• Ability to negotiate effectively, including documenting plans and procedures a benefit.
• Database, document and knowledge management experience preferred.
• Ability to lift approximately 15-20 lbs.

Education and Experience:
• Bachelor’s degree or equivalent experience.
• At least three years of previous experience in office management.

Physical and Environmental Conditions:
This position does not require unusual demands for physical effort. This position may occasionally require physical effort to lift and transport items weighing no more than 20 pounds.

Work environment involves everyday risks or discomforts that require normal safety precautions typical of places such as offices, meeting or training rooms, residences, or commercial vehicles; e.g., use of safe work place practices with office equipment, and/or avoidance of trips and falls, and observance of fire regulations and traffic signals.
